An electronic invoice, or e-invoice, is a structured document delivered electronically. Unlike traditional digital invoices, which require human intervention, e-invoices are machine-readable and can be processed automatically. This automation significantly enhances efficiency and accuracy in invoicing processes.
While digital invoices can be any form of invoice viewed and processed digitally (like scanned paper invoices, PDFs, or Word files), e-invoices are specifically designed to be read and processed by machines with minimal human input. This distinction makes e-invoices more efficient and less prone to errors compared to digital invoices.
E-invoices typically use hybrid formats, combining human-readable PDFs with structured XML files. Examples include ZUGFeRD and Factur-x. Fully structured XML formats like XRechnung are also used, which do not include an accompanying PDF.
The European Union (EU) is promoting e-invoicing among B2B companies to improve tax compliance and streamline invoicing operations. Different EU countries have varying timelines for implementing e-invoicing, but it will eventually become mandatory across the board.
